What traceability requirements apply to machined parts for defense?

Short answer

Traceability means every delivered part can be traced back to its material batch, its process records and its drawing revision. In practice that requires mill certificates to EN 10204 — usually type 3.1 — batch or serial marking, records of outsourced heat treatment or coating, calibrated measuring equipment, controlled changes and a defined retention period for the records.

What has to be traceable

Defense customers rarely ask for traceability as a single item. They ask for several chains that must join up at the finished part:

How deep this goes is set by the contract. Structural, pressure-bearing and safety-relevant parts are usually traced individually; simple brackets often only per batch.

Material certificates: what the EN 10204 types mean

  • 2.1 declaration of compliance with the order: the manufacturer states conformity without any test results.
  • 2.2 test report: results from non-specific inspection, so not necessarily from the delivered batch.
  • 3.1 inspection certificate: results from specific inspection of the delivered material, validated by an inspection representative independent of the manufacturing department. This is the usual minimum for batch traceability.
  • 3.2 inspection certificate: additionally validated by an authorised representative of the purchaser or by an inspector designated by official regulations.

The certificate only helps if the link to the physical bar or plate survives the workshop. That means marking remnants, transferring heat numbers at every cut and documenting the transfer.

Where traceability usually breaks

Audit findings concentrate on a few recurring points: mixed batches at the saw, unmarked remnants returned to stock, drawing revisions changed by e-mail without a controlled release, outsourced heat treatment or coating delivered without a batch reference, and gauges used past their calibration date.

Counterfeit or misdeclared material is treated as a separate risk. The current 9100 revision — AS9100 Rev. D from 2016, published in Europe as EN 9100:2018 — introduced explicit requirements for counterfeit part prevention, which in practice means buying through approved sources and verifying certificates rather than trusting a scanned document.

Does every defense part need a 3.1 certificate?

No. The requirement follows the function of the part and the contract. Structural, pressure-bearing and safety-relevant items are usually specified with 3.1 or higher, while simple non-critical parts are often accepted with a 2.1 or 2.2 document. Ordering a higher type than needed adds cost without adding value.

How long do records have to be kept?

Retention is set by the contract and often follows the service life of the equipment, which in defense can mean decades. Ten years is a common baseline in general engineering, but programme requirements frequently exceed it. Agree the period in writing before the first delivery.

Is a first article inspection report the same as traceability?

No. A first article inspection proves that the first part of a production run meets every drawing requirement. Traceability proves which material, processes and revisions went into each subsequent part. Programmes usually require both, and a repeat inspection after significant changes.
